Field service apps with digital job sheets
Your team runs its jobs from the phone, on the road or on site.
Field service app development makes sense when off-the-shelf field service software such as Joblogic, Commusoft or simPRO doesn't fit the way your engineers work, or won't talk properly to your ERP. This page covers when to buy rather than build, what a digital job sheet should capture, whether a customer's signature on a phone holds up in the UK, and what shapes the project.
If any of these sound familiar, we can help.
- 01Paper job sheets that someone has to retype.
- 02Calls to the office just to check a detail.
- 03Information that arrives late or not at all.

An app for an HVAC company's maintenance engineers.
Engineers get their jobs, log the work with photos and the customer signs on screen.
Start by checking off-the-shelf field service software
For a typical trade or maintenance business (heating, electrical, fire and security, facilities), field service management software already covers scheduling, job sheets, quotes, invoicing and customer reminders. Joblogic and Commusoft, for example, both list links with Sage, Xero, QuickBooks, FreeAgent and KashFlow. If one of them fits your process, buy it: it will be cheaper and quicker than building, and we will tell you so on the first call.
Look closely at the licensing before you sign. Commusoft, for instance, prices per licence per month on a 12-month contract, with a minimum of four licences, and says that office staff, managers and engineers all need one. Over three years, licences for the whole team are part of the real comparison.
When off-the-shelf FSM doesn't fit your process or your ERP
A bespoke field service app is worth considering when the mismatch is in what makes your service different, not in a missing button. The most common cases:
- Your ERP is not on the list, or the link only syncs invoices: you run Sage 200, Business Central or NetSuite with stock, serial numbers and contracts that engineers need on site.
- The job sheet depends on the asset: each type of equipment has its own checks, readings and follow-up rules.
- Your customers require their own report format, or need results delivered into their systems.
- Pricing rules the tool cannot model: SLA contracts, call-out bands or customer-specific rates.
- You only need part of an FSM, but would be paying licences for the whole team.
- You want the data in your own systems for MI reporting, not locked in a vendor's export.
What a digital job sheet should capture
A good digital job sheet takes less time to fill in than paper, not more. Everything the office already knows arrives pre-filled, and the engineer only adds what happened on site:
- Job details from your ERP or CRM: site, contact, asset, service history and access notes.
- Arrival and departure times, with location only if you decide it is needed and staff have been told.
- Checklists per asset type, with readings validated as they are entered.
- Parts used, linked to van stock so the office knows what to replenish.
- Before and after photos, timestamped and attached to the right job.
- The customer's printed name and signature, with a PDF copy emailed straight away.
- Follow-up work raised as a new job or quote without anyone retyping it.
Is a customer's signature on a phone valid in the UK?
In England and Wales, the Law Commission's 2019 statement of the law is that an electronic signature is capable in law of being used to execute a document, provided the person signing intends to authenticate it and any formalities required for that document are met. The Electronic Communications Act 2000 also makes electronic signatures admissible in evidence. For a job sheet, the practical question is evidence: showing who signed, what they signed and when.
That is a design matter. The job sheet should be locked once signed, store the signer's name, the time and, where justified, the location, and send the customer a copy immediately. Scotland and Northern Ireland have their own rules, and deeds have extra requirements, so for anything beyond everyday job sheets check with your solicitor.
What shapes the price and timescale of a field service app
Two apps that look alike on screen can involve very different amounts of work behind them. The factors that weigh most:
- The ERP connection: what its API allows, and whether data has to flow both ways.
- Offline depth: reading jobs without signal is simpler than editing, signing and resolving conflicts later.
- How many job sheet types there are, and how many rules each checklist carries.
- Documents and reports generated for your customers, especially if each wants its own format.
- Scheduling: a list of assigned jobs is one thing; drag-and-drop planning with skills and travel time is another.
How we would build your field service app
A fire and security maintenance firm could start with job sheets, asset checklists and signatures connected to its ERP, and add scheduling or van stock later. Engineers test every working demo, one every two weeks, on their own phones, including in places with no signal, which is where an offline-first app earns its keep. The project has one fixed price and the code is yours; the method is on our page about fixed price software development.
Frequently asked questions
See all FAQs →Does it work without signal?
Yes. The app saves the work on the phone and sends it when it's back online.
Does it work on Android and iPhone?
Yes, both from a single app.
Can the office see the work as it happens?
Yes. Photos, signatures and checklists come through as soon as the engineer closes the job.
Can a field service app connect to Sage 200, Business Central or our own ERP?
Usually yes, through the ERP's API or, where there is none, a controlled import and export. Jobs, customers and assets come down to the phone; time, parts and signatures go back up. How that connection is built is covered in our ERP integration services.
Do we have to publish the app on the App Store and Google Play?
Not publicly. Apple's unlisted app distribution keeps an app out of search and charts, reachable only by direct link, and managed Google Play lets you publish a private app available only to your organisation. Since an unlisted link works for anyone who has it, the app itself still asks engineers to log in.
Can we keep our FSM software and add a bespoke app for one part?
Often that is the most sensible route. If your FSM has an API, a bespoke app or module can handle the part it does not cover, such as a specialist inspection, and pass the result back. You keep what works and only build what is missing.
What running costs does a field service app have?
Apple's annual developer programme fee, hosting for the back end, and support if you want it. There are no per-engineer licences in an app built for you. The guide on how much it costs to build an app gives market reference figures.
