Custom inspection and incident reporting app
Inspections and incident reports with photo, location and signature, paperless.
A custom inspection app makes sense when your checklists, reports or follow-up rules are specific to your business, or when results have to flow into your own systems. For many teams an off-the-shelf tool such as SafetyCulture or Lumiform does the job, and this page says when. It also covers what a good inspection record captures, how findings turn into actions, and what shapes the project.
If any of these sound familiar, we can help.
- 01Paper checklists that get lost or arrive illegible.
- 02Photos scattered across each engineer's phone.
- 03No way of knowing which inspections are outstanding.

Start by checking SafetyCulture and Lumiform
Inspection checklist apps are a mature market. SafetyCulture, which renamed itself Mitti in August 2026, offers a free plan for teams of up to 10 seats with five active inspection templates, and a Premium plan priced per seat per month that adds unlimited templates and integrations. Lumiform lists its Professional plan at €16 per user per month, with public API access, integrations and webhooks shown as add-ons.
If your inspections are standard (health and safety walk-rounds, vehicle checks, cleaning or food hygiene audits) and the end product is a PDF report, one of these tools will be quicker and cheaper than building. Try a free plan with your real checklists first. We will tell you on the first call if that is where you should start.
When a bespoke inspection app is worth it
The case for building is rarely about the form itself. It is about what surrounds it:
- The checklist depends on your asset register, held in your ERP or maintenance system, with different checks for each type of equipment.
- Scoring and pass or fail rules go beyond what a form builder's logic can express.
- Each customer wants its own report, with its own format, branding and sign-off.
- Results must change things in your systems: open a job, raise a quote, order a part, update a certificate date.
- Many occasional users, such as subcontractors or customer staff, would each need a paid seat.
- The inspection history is contract evidence, and you want it in your own database rather than a vendor's export.
What a digital inspection report with photos should capture
A good site inspection app is quicker than paper for the inspector and more useful than paper for everyone else. Each record should hold:
- Site, asset and previous findings, filled in before the inspector arrives.
- A checklist for that asset type, with readings checked against allowed ranges as they are entered.
- Photos attached to the question they relate to, timestamped, not loose in the camera roll.
- Location, only where it is justified and staff know it is recorded.
- Signatures from the inspector and, where needed, the person responsible on site.
- A locked record once signed, with any correction saved as a new version.
- A PDF report generated in your template and sent to whoever needs it.
From finding to action: issues that don't get lost
The value of an inspection is in what happens after it. Each failed item opens an issue with an owner, a priority and a due date. Overdue issues are escalated, and closing one can require a photo or a re-inspection. Managers see what is outstanding by site and by customer, and which inspections are due this month.
Inspections often happen in plant rooms, basements and remote sites, which is where an offline-first app matters. When the inspection is part of a wider job sheet with parts, time and customer sign-off, the project looks more like field service app development.
What shapes the price, and how we would build it
The guide how much it costs to build an app gives market reference figures. What weighs most here is the number of checklist types and rules, the report formats, the connection to your systems and how much has to work without signal.
A logistics company could start with periodic safety inspections in its warehouses, then add issue tracking and the link to its maintenance contractor. Inspectors test every working demo, one every two weeks, on site and on their own phones, under one fixed price per project. The method is on our page about fixed price software development.
Frequently asked questions
See all FAQs →Can photos and location be attached?
Yes. Each record can include photos, location, date and signature.
Can we use our own forms?
Yes. We digitise the templates you already use and improve them where needed.
Does it generate reports?
Yes. PDF reports and dashboards with the status of each incident.
Can we bring across our existing templates from Word, Excel or another app?
Yes. Templates in Word, Excel or PDF are rebuilt as digital checklists, and we take the chance to tidy questions that cause confusion. If you are on another inspection app, we check what its export includes before promising to move past results.
Can customers or subcontractors see the results of their inspections?
Yes. They can receive the report by email automatically, or log in to see the history and open issues for their own sites only, without seeing anyone else's.
Can an inspection be changed after it has been signed?
Not silently. The signed record is locked. If something needs correcting, a new version is saved with who changed it, when and why, and the original remains available.
Can we keep SafetyCulture or Lumiform and add a bespoke piece?
Often, if your plan includes API access. A small bespoke service can take finished inspections and turn findings into jobs, quotes or ERP updates, so you keep the tool your inspectors know and only build the part it does not cover.
